NORFOLK GLAMPING SITE TERMS AND CONDITIONS 

Addresses

You will find that, on google maps, we have 2 different addresses. One is our head office address and the other is our site address. Please ensure you come to Rookery Farm, Watton Road, Great 

Ellingham, NR17 1LB when coming to the site.

Bookings

Glamp and Tipple Ltd handles bookings from persons over 18 years of age (and over 21 years of age for all-adult groups). We reserve the right, without giving reasons, to refuse a booking. 

When you submit your booking through the online reservation system you will receive an automated booking summary e-mail, to the e-mail address provided.  Please check the e-mail for any errors.  Please also check your spam folder as occasionally emails will go there instead of your inbox.

The automated e-mail does not form a contract between you and Glamp and Tipple Ltd.  

A contract will be formed when Glamp and Tipple Ltd sends you a booking confirmation via e-mail.

Any issues must always be notified by email or telephone within 7 days following the receipt of the booking confirmation letter or before the start of your stay if that occurs within 7 days.

Group Bookings 

Glamp and Tipple Ltd has the right to refuse group bookings if we feel that they may be of detriment to other guests staying on site or the local residents. 

To book the site on an exclusive basis, we have a minimum booking requirement of 3 nights unless otherwise agreed at the time of booking. The person who makes a booking (the host) will be responsible for all persons included in the booking and should ensure that each guest is aware of these terms & conditions.

Children on Site

We welcome children to our lovely site but stress that they are the sole responsibility of their parent or guardian at all times and are not permitted to leave the site without being accompanied by an adult.

Site Regulations and Policies 

In order to make the stay at Glamp and Tipple as pleasant as possible for everyone, all guests must keep to rules of behaviour listed here, behaving in a considerate and safe manner to all people on site and local residents.

 

To respect fellow guests and local residents we ask that there are no high noise levels after 9.00pm with all noise to stop by 11.00pm.  

We do not allow amplified music or drumming at any time.

 

Fire-bowls must be kept within the designated areas and at a minimum of 4 metres from your 

accommodation, and only wood purchased from the Wood Store or brought in by guests can be used. Please do not collect any wood from the farm for burning. 

Fireworks and sky lanterns are not allowed as they pose a risk of fire and are a danger to animals.

We do not allow any naked flames, smoking, gas fires, bbq etc inside the tents and ask that only the lighting provided is used during your stay. Please DO NOT bring additional lighting with you as the lighting provide is sufficient for you to be able to enjoy your stay in a rural/natural environment with a spectacular night sky!

 

We hope you love the natural environment as much as we do! We ask that you consider the 

countryside Code including the following:

  • Leave gates as you find them, closing a gate if found closed
  • Keep to public footpaths when exploring the local area
  • Do not walk across crops (this includes long grass)
  • Leave no trace on the land. We provide a variety of bins at your accommodation and at the car park

 

If the Site Regulations are breached, in serious circumstances, we may ask you to terminate your stay without a refund. Glamp and Tipple reserves the right to make alterations to the set-up and opening hours of the facilities and supplies on the farm. Please note that essential maintenance activities may be carried out at the farm or to accommodation during your stay without you being entitled to any compensation.

Location of the Site

Our site is based on a working farm and as such there may be farm vehicles, deliveries and other members of the public present during your stay (although they are not permitted on our site).

We are also based near a B/Country road and this, at times, can be busy with farm vehicles and other traffic at peak times and different times of the year depending on farm activity.

Alcohol Policy

Guests (over 18) are allowed to consume alcohol on site. However, we do ask that guests are respectful of all other guests and local residents in this regard and do not allow their behaviour and noise levels to cause a nuisance or disturbance. Should any complaints arise in this regard then we reserve the right to ask the guests in question to leave the site with immediate effect.

 

Noise Disturbance Deposit 

For all bookings we require a pre authorised noise disturbance deposit of £100 upon check in. 

This a deposit we are required to take by the council to ensure that the site does not pose any adverse disturbance to the local residents. Should there be any complaints, made to us, by the local residents or other guests on site regarding unreasonable noise levels then we reserve the right to ask the guest in question to leave the site with immediate effect and shall donate the deposit paid to the local parish of Great Ellingham. 

Day Visitor Policy

Day visitors are permitted on site with prior agreement. For security reasons please ensure that all visitors sign in/out using the visitors book in reception.

Visitors are not permitted to arrive before 10am and must have left the site by 9pm at the latest. 

We do ask that during busy times your visitors are considerate regarding parking, the parking is free to use but primarily for guests of the site so please can we ask that, if the car park is full, that they find an alternative and legal parking area.

Visitors are not permitted to stay overnight under ANY circumstances. 

If it is found that this rule has been ignored then there will be a fine of £100 + vat per person and the guests staying on site may be asked to leave without a refund.

Security Deposits/Preauthorisations 

For all bookings we require a pre authorised security deposit of £100 upon check in. 

Where no extra’s have been purchased and/or no damage has occurred we aim to release security deposits within ten working days of guests’ departure. It can take longer if deductions are involved for repairs or replacements. The security deposit covers any costs to Glamp and Tipple for damage/breakages/extra cleaning or shop purchases during the client’s stay. 

 

Damages, Breakages and Cleaning

For damages or breakages: Guests are advised to check the accommodation unit/s for any damages or breakages found at the beginning of their stay and to inform Glamp and Tipple of any that they find. Please let us know if anything gets broken so we can replace it for our next guest. 

We will only charge for replacements in exceptional circumstances, as we expect a degree of wear and tear.  If damage is directly attributable to the guest, then we reserve the right to request payment towards costs of repair/replacement.  Glamp and Tipple reserves the right to deduct this payment from your security deposit or invoice guests following their stay.

For extra cleaning: Guests are reminded that they must leave the property in the same condition as when they arrived, remove all food items and personal belongings and follow Glamp and Tipple’s instructions about where to place rubbish etc. and return any moved inventory items to each accommodation unit or they may be liable for extra cleaning costs. If the accommodation unit is not left in an acceptable condition and Glamp and Tipple has to carry out extra cleaning above and beyond what they would normally expect this will be charged at £15 + vat per individual staff hour Glamp and Tipple reserves the right to deduct this payment from your security deposit or invoice guests following their stay.

Children’s Play Area – Bob’s Park

Glamp and Tipple Ltd accept no liability for ay injury/accident occurring during the use of any play equipment by the guests while on site. 

All users must be supervised at ALL times and the equipment should NOT be used in adverse 

weather conditions. 

 

Lost Property Returns

For lost property returns, Glamp and Tipple charges £10  + vat for small items and £15 + vat for large items towards staff costs for travelling to a Post Office, postage and packaging.

 

Accommodation

Included in the accommodation price: 

Rental of accommodation pitches booked

Access to all areas of of the site and communal equipment

Private designated bathroom with electric shower and eco toilet 

All equipment needed for cooking and washing up etc

Running water in the communal area 

Electric and WIFI 

Daily allowance of wood provided in accommodation (one bag of wood per night stay)

NOT included in the accommodation price: 

Rubbish collection (rubbish sacks should be left in the refuse area)

Stripping beds at the end of stay

Washing up of all used kitchenware

Emptying the ash from the fire pit, BBQ and stove

Firewood for fire-pits, firewood for wood-burning stoves above daily allowance

Keeping Warm – IMPORTANT

Glamp and Tipple Ltd cannot be held accountable for any inclement weather during your stay and if you choose to terminate your stay early there will be no refund given.  Each pitch comes equipped with a wood-burning stove and additional heaters which should allow for plenty of heat inside the tent. We also provide hot water bottles in each tent and are happy to provide extra duvets in the colder months.

There is a fire pit on each pitch for outside warmth.

It is the client’s responsibility to ensure they bring suitable PJs/Onesies, thick fluffy socks, slippers and anything else they feel would help! Please do NOT underestimate how the temperature changes during the night and ensure you take proper steps to keep yourselves warm. Glamp and Tipple Ltd cannot be help responsible for any disturbed sleep as a result of being cold.

Prices

The prices on the Glamp and Tipple website are not binding and Glamp and Tipple reserves the right to modify these prices. The price stated on the booking confirmation (sent after automated booking summary) is binding. Special offers and/or discounts cannot be used after you have booked your stay.

 

Payments and Deposits

i. Deposits (30%) made by card payment are due immediately upon booking.

ii. Deposits (30%) made by bank transfer are due within 24 hours of making a booking. 

Full payment must be made if you make a booking within 28 days before the start date of your 

holiday.

If balances have are not paid on time then Glamp and Tipple Ltd reserve the right to cancel your booking and retain any payments made.

If you wish to pay in instalments then we are happy to set up a payment plan for you to spread the cost as long as the balance is paid in line with the 28 days prior to your stay.

If you book through our website the full payment is taken at the time of booking.

 

Cancellation Policy – Individual and Small Group Bookings – Guests Cancellation

i. Once the deposit has been paid this is non refundable.

ii. In the event of cancellation less than 28 days before the start of the stay, the full booking amount will be payable.

iii. If your stay is terminated early, the entire booking amount is payable.

iv. It is a condition of your booking that you obtain appropriate travel insurance for all members of your group. This should ideally cover illness, cancellation and injuries during your stay. 

vi. We advise guests to take out separate travel insurance if they wish to cover costs incidental to planned travel such as lost baggage and accident protection including injuries during your stay.

Cancellation Policy – Exclusive Use – Guests Cancellation

i. The host is able to cancel and receive a full refund of the deposit paid if they cancel with more than 12 weeks notice. 

ii. In the event of cancellation of less than 12 weeks but more than 8 weeks notice then the full deposit will be retained 

iii. In the event of cancellation of less than 8 weeks notice then the full balance of the booking will be charged.

iv. If your stay is terminated early, the entire booking amount is payable.

 

Cancellation of Your Booking by Glamp and Tipple 

  1. We do not expect to have to make changes to your booking, however sometimes problems happen, and bookings have to be changed or cancelled. We will only change or cancel your booking:

i.a. if necessary to perform or complete essential remedial or refurbishment works; or

i.b. for other reasons unforeseen at the time you made your booking which are beyond our reasonable control. This may include occasions where the accommodation becomes inaccessible due to a Meteorological Office Severe Weather Warning or other unforeseen event.

ii. If we do need to change or cancel your booking for the reason set out in Section 

i.a, we will do our best to offer you a suitable alternative booking. If we are not able to offer you a suitable alternative, or if you do not accept the alternative we offer, the booking will be deemed cancelled and we will refund you the total amount you have paid us for the booking.

iii. If we do need to change or cancel your booking in line with i.b, because it becomes impossible to deliver the booking due to unforeseen events beyond our reasonable control, we’ll do our best to offer you a suitable alternative booking for either the same dates or alternative dates. If you don’t accept the alternative we offer, the booking will be deemed cancelled and no refund of any amounts paid will be offered.

iv. We strongly advise that you obtain appropriate travel insurance for all members of your group. This should ideally cover loss of baggage and personal accident.

Making Alterations

If you decide to make a major change to your booking we may charge a fee.  We are not obliged to make any changes to the holiday after the booking has been confirmed, unless you wish to add 

packages to your holiday, subject to availability, add a booking, or move your holiday to a more 

expensive period. 

Covid19 Update on Alterations

Should your holiday need to be altered or changed due to COVID19 restrictions imposed by the Government then we will waive any fees and help in any way we can to arrange alternative dates for your trip. 

There will be no deadline for you to rebook and all prices will be honoured as per your original quote.

 

Arrival and Departure

You have access to your accommodation from 4.00 pm on the day of arrival unless you have booked and paid for an early arrival which is from 2.00 p.m. 

Latest check in time is 6pm on the date of arrival.

On the day of departure you must vacate your accommodation by 11.00 am, leaving your accommodation clean and tidy unless you have paid for a late check out at 12pm.

Please note that the advised check-in time is between 4.00 pm and 6.00 pm. The check-in times are for your own interest to allow you time to unload your luggage and be shown the accommodation before dark.  Should you be unavoidably delayed, please contact Glamp and Tipple at the numbers listed in the Welcome Pack and the travel directions.  A late fee may be applied to late arrivals.

 

Pets

We regret that we are unable to allow dogs to stay on our site.

 

Wood Fired Hot Tubs

We are pleased to be able to offer a private wood-fired hot tubs, on your pitch, for your personal and private use. You will be provided with a bag of firewood for each night you have booked and there will be additional wood available for you to purchase from the site shop.

  • Use safety straps on the lid when the hot tub is not in use
  • Children must be accompanied by an adult
  • If you feel unwell be sure to leave the tub
  • Anyone with medical conditions should check safety first
  • Check water temperature before getting in hot tub
  • We use eco chemicals in our tubs, please contact us if there is any issue with this

 

Hot tub hygiene requires all users not add any products to the water. If the hot tub safety and hygiene advice is not followed, we may need to ask you to stop using the hot tub.

Additional/Optional Extras

Should you wish to book any optional extras or additional services to enjoy during your stay please ensure that you have given us at least 2 weeks notice as some of the options require preparation time.

Emergency Contact/Out of Hours Contact 

If you require the help of a member of staff, at any time, during your stay then please refer to the guest information book located in your bell tent for the emergency contact mobile number. This will be manned 24/7 and a member of staff will always be on hand to help in any way they can.

Liability

Glamp and Tipple Ltd and Rookery Farm accept no liability for:

i.  theft, loss or damage, of whatever nature, during or as a result of a stay at Glamp and Tipple

ii. any defect or out of action equipment and loss or closure of supplies at Glamp and Tipple Ltd

Guests are responsible for any losses and/or damage which occurs as a direct or an indirect consequence of their stay, irrespective of whether any losses and/or damages are caused by themselves or by third parties who are at Glamp and Tipple Ltd.

If you leave your tent in an inappropriate condition, additional costs can be charged to you.

 

Force Majeure

Glamp and Tipple cannot be held liable if, through Force Majeure, the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Glamp and Tipple, including threat of war, blockades, fire, floods, staff strikes, and other disruptions or events.

 

Complaints Procedure

We take great care to ensure you have an enjoyable stay at Glamp and Tipple however if you have a complaint during your stay please contact the site manager as soon as possible.  If a genuine complaint is not settled to your satisfaction, then you can write to Glamp and Tipple within 14 days of your departure.  

Risks

You will be staying at a farm with animals and potentially dangerous farm equipment amongst other hazards. Also please be aware that some of the guest equipment, including the BBQs, gas stoves and wood burning ranges may be dangerous if misused. Glamp and Tipple is not responsible for accidents (to the greatest extent permitted by law). Children must be supervised at all times.  We recommend you take out travel insurance against the risk of accidents and your stay being terminated early.

  

General

Your contract partner is Glamp and Tipple Ltd. We are not bound by any printing errors.

MOBILE SERVICE TERMS AND CONDITIONS 

Definitions

‘Company’ means ‘Glamp and Tipple Ltd’ whose head office is 18 New North Road, Attleborough, Norfolk, NR17 2BJ

‘Client’ is the person hiring the equipment from the company. The Client must be a minimum of 18 years old.

‘Equipment’ is classed as any materials specified in the invoice.

‘Hire Charge’ is the amount payable by the Client to the Company as specified on the invoice.

‘Invoice’ is the form issued by the Company to the Client requesting payment for the booking and containing details of the equipment booked and period of hire.

‘Period of Hire’ is the period between completing the set up of the equipment and the dismantling as agreed between the Client and Company at the time of confirming the booking.

THE CLIENT IS STRONGLY ADVISED TO TAKE OUT SUITABLE INSURANCE. THE CLIENT WILL STILL BE LIABLE TO PAY ANY MONIES OWING IF THE EVENT FOR WHICH THE CLIENT HAS BOOKED EQUIPMENT FOR IS CANCELLED OR POSTPONED FOR ANY REASON.

General

These terms and conditions apply to all contracts entered into between the Company and the Client unless expressly stated otherwise by the Company and upon payment of the deposit the Client is deemed to have accepted them. 

All bookings are only considered confirmed and dates will only be held once the deposit has been received by the Company. 

All bookings are dealt with on a first come first served basis.

1. BELL TENT/GLAMPING BOOKING CONDITIONS

Quotes are provided on the basis that a booking is not confirmed until a deposit and completed and signed booking form has been received from the Client.

When booking on our website full payment is taken at the time of booking.

If booking directly a non-refundable deposit of 25% of the total booking cost is payable on confirmation of the booking.

The balance is payable 14 days before the event date stipulated on the booking form.

Bookings received less than 14 days in advance of event date will require full payment at the time of confirming the booking.

Notice of cancellation of the booking by the Client must be provided to the Company, in writing, not less than 14 days prior to event date.

Cancellation of less than 14 days prior to your event date will result in 100% of the booking charge being forfeited. 

A fully refundable security deposit of £100 + vat per tent will be taken at the same time as the balance payment, 14 days prior to the event date.

The security deposit covers damage, breakages or extra cleaning that may be required. This will be returned within seven days of departure, minus deductions if applicable, which will be fully itemised.

No confetti balloons or bombs to be used inside the tents.

All rubbish and any recycling must be removed from the tents by the Client.

If evidence of smoking inside tents is discovered the Company will retain the full security deposit.

Any vomit/urine found in the tents will result in a minimum charge of £50 to the full security deposit being retained for the cleaning of the equipment.

The Company accepts no responsibility or liability for any damage or theft of any property left in tents or the duration of the hire period.

The number of campers per tent is detailed on your booking form, no additional campers are permitted unless by prior arrangement with the Company.

Upon collection if the tent or any furnishings therein be found to have been damaged then the following charges will be invoiced to the client:

  1. damage to the tent itself up to £1000 dependant on whether the damage is repairable or whether the tent needs to be completely replaced.
  2. damage to furnishings, fittings and decorations up to £100 per item

Travel

There is a delivery, set up and collection charge for all bookings as follows:

Norfolk – £30 + vat

Suffolk – £50 + vat

Cambridgeshire – £50 + vat

Essex – £75 + vat

Herfordshire – £75 + vat

Bedfordshire – £75 + vat

Surrey – £125 + vat

Kent – £125 + vat

London (inside M25) – £150 + vat

All Other Areas of UK – £250 + vat (minimum hire charges apply)

Consultations 

We are pleased to offer a free consultation of up to 1 hour either over the phone, over FaceTime, at our address or at the venue of your choice. Should additional consultation time be required  the charge will be £20 per hour plus any additional mileage.

Space Required for Bell Tents

4m requires a 5/6m area of flattish grass

5m requires a 6/7m area of flattest grass

6m requires a 7/8m area of flattish grass

7m requires a 8-10m area of flattish grass

Please note it is your responsibility to ensure that there is enough space and easy access for the tents to be erected. There will be no refund given for bookings where the space is insufficient for the tent that has been booked.

Artificial Turf

It is possible to erect our tents on artificial turf however, it is important that clients understand that there is the possibility that the pegs used may leave marks in the turf. This is the client’s decision to make and Glamp and Tipple Ltd cannot be held accountable for any damage caused.

Airbed/Camping Beds

Glamp and Tipple Ltd will not be responsible for any loss of air from any airbeds during the hire period. The airbeds will be fully inflated at the beginning of the hire, but due to factors such as temperature, amount of usage, and length of hire, airbeds may lose air and deflate slightly. It is recommended that the Client has a suitable pump somewhere on site to ‘top them up’ if required.

Keeping Warm 

Glamp and Tipple Ltd cannot be held accountable for any inclement weather during your hire period and no refund will be given if the client chooses not to use the tent as planned. You are welcome to hire electric heaters from us at any time if you feel you will need them (the client must provide an extension lead for the use of these). 

Clients are able to provide their own heaters if they wish but they must be electric and in good working order. Any damage caused by a heater to any of the glamping equipment will be charged to the client in order for the damaged items to be replaced.

It is the client’s responsibility to ensure the following:

  1. Suitable thick and warm duvets are provided (we recommend using a winter duvet)
  2. Suitable winter PJs/Onesies are recommended along with thick fluffy socks, slippers and dressing gowns 
  3. Client’s should have extra throws/rugs available in addition to the ones we provide 
  4. Client’s should provide their own hot water bottles if desired 

Site Conditions

(a) The Hire charges are based on the assumption that the site is a flat level firm ground with easy access for motor transport, and that no drains, cables or other services are buried beneath the surface or otherwise concealed. The Hire charges do not include any making good or repairing of damage to the site.

(b) The Client is required to provide the Company with either a plan showing the position in which the tents or equipment are to be erected or should have a representative on the site for that purpose. In the absence of a plan showing the position in which the tents or equipment are to be erected the Company will erect the tents or equipment where they deem appropriate and shall be deemed to have completed the contract.

(c)The Client should never presume that any other equipment is included in the Hire other than what is stated in the Company’s booking forms and related website, specific to their booking.

(d) The Client is required to select a site that is not susceptible to bogginess or has poor drainage. Any flooding caused is the responsibility of the Client.

(e) The Client must ensure that any obstructions to the site are removed before The Company arrives. This includes plants, shrubs, trees, vehicles and other materials. The Company reserves the right to apply a discretionary surcharge if obstructions prevent work from commencing.

(f)The Client must consider and is responsible for making suitable arrangements for access by people with disabilities and emergency services

(g) Appropriate provision of parking must be supplied and all parking costs (if any), must be paid for by the Client in advance of The Company arriving on site.

3. HOT TUB HIRE CONDITIONS

Quotes are provided on the basis that a booking is not confirmed until a deposit and completed and signed booking form has been received from the Client.

If booking through our website the full booking total will be payable at the time of booking.

If booking directly a non-refundable deposit of 25% of the total booking cost is payable on confirmation of the booking.

The balance is payable either by BACS or card 14 days prior to the set up date.

Bookings received less than 14 days in advance of set up date will require full payment at the time of confirming the booking.

Notice of cancellation of the booking by the Client must be provided to the Company, in writing, no less than 14 days of the agreed set up date on your booking form.

Cancellation of less than 14 days prior to your set up date will result in 100% of the booking charge being forfeited. 

A fully refundable security deposit of £100 will be required at the same time as the balance payment. This will then be fully refunded within 5-7 working days of collection.

Clients are required to ensure that the following requirements can be met prior to our arrival to set up:

(a) A clear passageway to the garden.

(b) A clear, level, area no less than 2.5 x 2.5m for a hot tub or 3x3m for a gazebo.

(c) If your garden is only stones, you must supply a ground sheet.

(d) You will need constant access to electric, either through a window, outdoor plug socket or suitable good quality, outdoor type 13amp extension cable.

(e) You will need access to water, ideally from an outside tap, if you do not have an outside tap you can purchase an internal tap adapter from most DIY stores, alternatively send us a picture so we can check our stocks to leave one with you for your hire.

(f) Please note – we do not supply extension cables, and can only help with hoses where we’ve been advised by yourself that you require one. We do not supply tap attachments.

(g) You will be issued an AM or PM time slot the week before your hire. There must be someone aged 18+ to accept delivery. If you have failed to be/make someone available for set up and we arrive to an empty property, you will be responsible to pay for the balance of the hire.

Travel

There is a delivery, set up and collection charge for all bookings as follows:

Norfolk – £30 + vat

Suffolk – £50 + vat

Cambridgeshire – £50 + vat

Essex – £75 + vat

Herfordshire – £75 + vat

Bedfordshire – £75 + vat

Surrey – £125 + vat (only supplied when booking with a bell tent as well)

Kent – £125 + vat (only supplied when booking with a bell tent as well)

London (inside M25) – £150 + vat (only supplied when booking with a bell tent as well)

All Other Areas of UK – £250 + vat (only supplied when booking with a bell tent as well)

Hot Tub Set Up Conditions

(a) Clearing pathways for our delivery driver

(b) Clearing an area 3x3m for the equipment of sharp debris, leaves, branches, stones, furniture and animal mess. If the area is unsuitable, we reserve the right to refuse the hire.

(c) Access to water is required. If you do not have an outside tap and/or a hose you MUST let us know, we may not have spares unless you have requested to borrow hoses.

(d) Access to electric will be required for the entire duration of the hire; this should be from a 13amp household socket or from a suitable outdoor extension cable with a minimum 2 plugs and a 13amp fuse. This must be unravelled. We do not supply extension leads.

Setting Up and Using Your Hot Tub – Your Responsibilities 

A member of our team will set up your hot tub and gazebo/spa dome (if applicable). They will show you how to use the equipment and answer any questions that you might have. 

We do not fill up the hot tubs. 

Fill time can vary from 1-3 hours; we will show you how to turn the heat on for once it is filled. 

We recommend that all clients fill the hot tub with HOT WATER. This can be achieved by purchasing a tap adapter to enable you to connect your hose to your hot tap.

We work on a night by night hire basis; We aim to have the hot tub ready to be used from 7pm 

on the first night of hire. 

If your party is starting earlier than 7pm in the winter months, please let us know. Heat time is up to 24 hours, therefore it is PARAMOUNT that you TURN ON the heat as soon as the tub is filled to the required level.

Your hot tub is delivered sanitised. It is filled with clean drinkable water. It is ESSENTIAL to everyone’s enjoyment and health that you make all efforts to keep the hot tub in a good condition during your hire. It is essential to clean the filter at least once everyday.

Ensure all guests are freshly showered, they are not wearing strong perfumes, oils, creams, fake tan. Make sure that nobody urinates, spits, vomits or likewise into the hot tub. 

Users MUST wipe feet before entering the hot tub to prevent dirt, grass etc from getting in the tub.

We are not responsible if you do not follow these simple instructions to maintain clear water. If the water becomes dirty and smelly you MUST empty and refill the hot tub. DO NOT BATHE IN DIRTY SMELLY WATER. Glamp & Tipple accept no liability for illness, skin/eye irritation or other from using the hot tubs.

Remember – we fill with clean water from your tap, if it gets dirty, you have made it that way! We supply a brand new filter for every hire, these are designed to be used for up to 2 weeks. It is your responsibility to keep it clean! We will not supply new ones if you have failed to keep it clean. 

If the filter is not kept clean, the water will not be clean, the filter may block and therefore cause the pump to stop working – we cannot be held responsibly for this.

The customer responsible is the person who has made the enquiry to book and issues the order of the payment of the deposit. As the customer you accept responsibility for the safety and wellbeing of the users and the care of all equipment belonging to Glamp & Tipple.

Children must be supervised by an adult at all times. 

The customer must ensure that any users that are pregnant, suffer from any ill health, have open wounds, are on medication do not use the hot tub unless they have sought the permission from a GP. 

Anybody with a contagious infection/disease is prohibited from using the hot tub. 

Anybody highly intoxicated or that have used recreational drugs must not be allowed to use the hot tub for risk of drowning. 

It is the customers responsibility to pay for replacements of any damaged items and for the safety and well being of each user.

Hot Tub Do’s and Don’ts

Please ensure that you have familiarised yourself with the general usage information below.

DO’s

Keep water clean and clear. 

Clean the filter regularly. 

Wipe/wash feet before entry. 

Freshly shower before entering the tub removing any heavy oils or creams. 

Supervise anybody under the age of 18 at all times with strict attention. 

Ensure the safety of the equipment with correct storage, use of the hot tub. 

Do listen to all instructions given during your set up and listen to any requests that may be communicated during your hire.

Check water cleanliness often.

Clean the filter at least twice per day.

Inform us immediately of any new or ongoing problem; we cannot fix a problem if we aren’t made aware of it.

DONT’s

Do not allow children into the hot tub unsupervised.

No pets must climb up/enter the hot tub.

Do not use any sharp breakable objects such as glasses; Use plastic.

Do not urinate, spit, vomit in the hot tub.

Do not jump on the sides of the hot tub.

Do not allow sharp toys in the hot tub.

Do not spill food or drink or other substances into the water including bubble bath.

Do not bathe in dirty smelly water; if you have failed to keep the water clear you should drain, clean and refill the tub will fresh water.

Glamp & Tipple accept no liability for illness, skin/eye irritation or other relating to the use of the hot tubs.

Additional Charges 

All our our hot tubs are well cared for, well maintained and cleaned meticulously. If, during your hire, the hot tub has not be kept in a sanitary condition and on collection contains residue of make up, hair dye, food, urine or is presented in any other unsavoury state; a cleaning charge of £50 will be invoiced to you. A well maintained spa will see you enjoy your hire from start to finish; please follow the user guidelines to ensure your hot tub stays clean.

Should the hot tub be returned to us broken or unfit for future use and it is found that this is down to mis-use or failure to follow the user guidelines then the client will be charge a replacement fee of £500.

Call out fees

If you require us to call out to you if a problem cannot be solved over the phone a charge of £50 plus mileage of 45p per mile each way will be invoiced to you if the problem is deemed to be down to miss-use – such as – dirty water, blocked filter/pipes/punctures/damages.

Failure to pay the additional charges on receipt of invoice will be taken to small claims court and the cost to do so, applied to your invoice.

Collection Conditions

You will be given an AM or PM slot for collection for one of our team members to take away the equipment. Access does need to be made; however nobody needs to be present for collection if we can get to the equipment without coming through a house/garage.

You must leave access clear and unlocked. If we cannot retrieve our equipment in the agreed time, an additional charge of £50 will be applied plus £60 per night until we are able to collect at our convenience.

We ask all clients to empty the water from the hot tub in advance of us collecting. Please refer to your client instructions to understand how to do this. 

DO NOT deflate the hot tub.

4. DELAY OR FAILURE BY THE COMPANY TO COMPLETE THE CONTRACT

The Company will use its best endeavours to supply the Client with the equipment ordered but where this is not possible the company will notify the Client as soon as possible with any alterations to the design and specifications of the equipment and where alteration is fundamental the Client may terminate this contract and any deposit paid will be refunded.

5. PAYMENT

Payments must be made in accordance with the terms stated in the Company’s quotation. 

6. LOSS OR DAMAGE

(a) The Client shall during the period of Hire be responsible for the maintenance and safe custody of the Company’s equipment from completion of erection until dismantling.

(b) The Client must be satisfied with the equipment before use and should notify the Company of any miscounts, incorrect deliveries or unacceptable equipment before use.

(c) The Client shall leave the Equipment in a clean and tidy state, a reasonable surcharge will be applied for cleaning if it is not and will be deducted from the damage deposit and / or charged directly to the Client.

7. INSURANCE

The insurance provided by the Company covers the equipment against: Theft, Vandalism, Fire and explosion, Storm and tempest.

The risk for any exclusions under the Company’s insurance passes to the Client on delivery of the Equipment.

8. EXCLUSIONS FROM INSURANCE

Exclusions include but are not limited to:

(a) Furniture

(b) Insurance excess – The insurance cover excludes the first £250 of any claim and this is payable by the Hirer.

(c) Cover only applies to equipment that is delivered by the Company and does not include any equipment provided by a sub-contractor, unless invoiced by the company.

(d) Disappearance, Unexplained or inventory shortage

(e) Consequential Loss

(f) Acts of fraud or dishonesty by any party to whom the property insured has been entrusted or hired.

(g) Any breach of the Company terms and conditions as herein stated will negate the insurance policy

(h) The Hirer is to keep the Equipment on site at all times and not attempt to move the equipment to any other location without the Company’s prior written consent; to keep the Company fully informed of all material matters relating to the Equipment; not to use the equipment for any unlawful purpose.

  1. Failure to report the loss or damage arising from fire, theft or vandalism to the police immediately upon discovery and to the Company within 24 hours.

9. THE CLIENT’S RESPONSIBILITY

(a) The Client should not enter the equipment whilst the Company is erecting it.

(b) The Client should keep any part of  a tent completely closed and secure while not in use during the period of Hire.

(c) The Client should not tamper with the structure or any part of the equipment

(d) The Client should not use any lighting, heating, cooking or other gas or electrical appliances of any kind, other than what is provided for and appropriate to use, inside the Company’s tents without the previous consent in writing of the Company.  No cooking or use of gas appliances of any kind should be used inside the Company’s tents.

(e) The Client is responsible for any damage and loss caused to the equipment regardless of culpability, and therefore should the security deposit be insufficient to cover costs incurred by the Company, the Client will be liable for all costs associated with this damage.

(f) Any naked flames used on site in proximity to the tent are entirely at the Clients own risk.

(g)  No animals are allowed inside the Company’s tents, without the previous consent in writing of the Company.

(h) No smoking is allowed inside the Company’s tents.

(i) The Client agrees that the Company, its Agents, Officers or Employees, accept no liability for any personal injury or damage to any persons or property suffered during the period of your usage.  Your statutory rights are not affected.

(j) Barbecue equipment or open fires outside are to be placed a minimum of eight feet from the tent and not left unattended whilst in use.

(k) In certain circumstances, such as the use of private land, The Client is responsible for giving notice to or obtaining permits from any authorities who are or may be concerned and must take application where necessary to the Planning Authority, District Surveyor, Police, Fire Brigade and any similar authority or organisation. Any costs incurred in delays or modifications in the work arising from the absence or misrepresentation of all such necessary permissions and permits shall be payable to the Company by the Client. Where appropriate obtain a license from the Local Authority. Any requirements under the license must be notified to us in writing, at least 28 days prior to erection. Should the Company for any reason be unable to comply with these requirements, then the Contract will become void and the customer advised accordingly.

(l) The Client will be responsible for any additional costs incurred to the company as a result of any booked equipment not being able to be erected/laid due to incorrect measurements, varying height levels or undisclosed site complications of which the company were not informed in writing.

(m) The Client will be responsible for any costs incurred by the company due to changes being requested once the erecting of tents has begun.

10. OWNERSHIP

All equipment remains at all times the property of the Company.  

11. LIABILITY TO THIRD PARTIES

The Company will not be responsible for and the Hirer will indemnify the Company against all claims for the injury to persons or loss or damage to property howsoever caused unless it be proved that such injury or damage was caused by negligence of the Company.

12. ERECTION AND DISMANTLING

The Company normally provides labour for the erection and dismantling and the cost thereof is included in the Hire charges. 

13. ATTENDANCE

The Hire charges do not include attendance by the Company’s workforce, employed or sub-contracted, except during the actual processes of erecting and dismantling the tent age.

14. FORCE MAJEURE

The Company will not be liable for any: Act of God including but not limited to  tempest, fire, flood, storm or natural disaster; War, civil war, sabotage or act of terrorism; Government sanction, Global Pandemic , embargo, import or export regulation or order; Labour disputes, including strikes, lockouts, boycotts or other industrial action; Failure in the transportation of equipment, machinery or personnel or in the provision of any utility including power, gas, water, or communication services.

While every effort will be made by the Company to carry out any booking accepted, however, the full performance of it is subject to variation or cancellation by the Company consequent upon Act of God, War, Strikes, Riots, Lockouts or any other disturbances. Fire, Flood, Storm, Gale or Tempest restrictions on the use of Transport, Fuel or Power. Requisitioning Storage of material or transport or labour or any other cause beyond the control of the Company.

This contract will be governed by the laws of England and Wales and the exclusive jurisdiction of the Courts of England and Wales.

15. OTHER

The Company reserves the right to amend their website and terms and conditions at any time, without prior notice, the Client obligations not being limited to the above.

The contract will be terminated in the event of non-payment, or if there is a breach of the terms and conditions.

If any clause is deemed invalid it will not affect the rest of the terms and conditions.

16. ENTIRE AGREEMENT

This contract constitutes the entire agreement between the Company and the Client.  No verbal representations or arrangements are recognised by the Company.

Nothing in this agreement shall exclude or in any way limit:

(a) either party’s liability for death or personal injury caused by its own negligence;

(b) either party’s liability for fraud or fraudulent misrepresentation; or

(c) any other liability which cannot be excluded by law.

This agreement sets forth the full extent of the Company’s obligations and liabilities in respect of the equipment and its hiring to the Client. In particular, there are no conditions, warranties or other terms, express or implied, including as to quality, fitness for a particular purpose or any other kind whatsoever, that are binding on the Company except as specifically stated in this agreement. Any condition, warranty or other term concerning the equipment which might otherwise be implied into or incorporated within this agreement, whether by statute, common law or otherwise, is expressly excluded.

A bookings may only be deemed valid once the Client is in receipt of a booking confirmation from the Company. The Company will provide a booking confirmation subject to availability and on receipt of a fully completed booking form with a deposit from the Client. Should the Company not have availability then the deposit will be returned to the Client.
